Job description
NYLAG seeks a Database and Reporting Administrator to be the main administrator for our LegalServer CMS, which stores data for nearly 300 attorneys and paralegals impacting the lives of over 130,000 New Yorkers each year as well as our Salesforce CRM, with 10+ users and over 500 records. The Database and Reporting Administrator will use LegalServer to support reporting and data analysis used for complex grant reporting and internal tracking, while also building the infrastructure for Salesforce for tracking our philanthropic and institutional contracts.

This position is ideal for someone passionate about managing complex data systems across multiple databases; implementing internal and external data management processes; and supporting an organization that promotes social, economic, and racial justice. This position will report to the Manager of Development Operations & Reporting, working closely with the Development Unit, NYLAG Directors and Executive Leadership.
Duties and Responsibilities

Database Management (LegalServer)
  • Work with NYLAG’s IT contractor and the Manager of Development Operations & Reporting to ensure that NYLAG’s case management system, LegalServer, meets the needs of each programmatic unit
  • Build out, test, and implement new modules, fields, and workflow solutions to optimize user experience and as new needs arise
  • Analyze new features and stay current on system applications to optimize usage
  • Monitor data integrity and ensure that case handlers/development staff are entering necessary data into the system
  • Utilize LegalServer’s reporting system to export data into Excel and manipulate and analyze data for external and internal reports
  • Enhance and automate existing reporting efforts
  • Develop familiarity with a wide variety of data fields used to report work to NYLAG’s funders
  • Develop and execute projects to help NYLAG use data to work more effectively and efficiently
  • Train new staff and volunteers on how to use LegalServer; conduct refresher courses for existing staff
  • Develop skills-based trainings to further equip supervisors with tools to help with their supervision
  • Implement other trainings as necessary to level the playing field of skills management

Database Management (Salesforce)
  • Serve as one of the primary system administrators for the Salesforce environment, used to manage individual and institutional giving
  • Handle administrative functions including user maintenance, modification of page layouts, generation of reports and dashboards, creation of new fields and other routine tasks.
  • Gather detailed requests for improvements or changes to the system, and implement these changes as appropriate and document customizations

Reporting & Analysis  
  • Work with NYLAG’s programmatic units in the preparation of organization-wide reports such as those for the Office of Court Administration and Interest on Lawyer Account funds
  • Compile statistical data and provide analysis related to grants deliverables and overall unit performance; create dashboards and visualizations to exemplify findings
  • Assemble data to support responses for Requests for Proposals and grant renewal
  • Support a team of Grants & Data Coordinators and NYLAG leadership as needed

Qualifications
  • Bachelor's Degree or equivalent experience (i.e. an Associates plus 2 years of experience or 4 years of experience in a data-related field)
  • 1 year or more of related experience in the nonprofit sector
  • 3-5 years of prior relevant experience in database management with a high preference for experience with Salesforce/Tableau and a CMS like MyCase, Clio, Epic/MyChart, etc.
  • Sophisticated knowledge of Excel, Pivot Tables, VLOOKUP, formulas and other data manipulation approaches is required
  • Proficiency with the overall Microsoft Office Suite
  • Strong troubleshooting and problem-solving abilities
  • Ability to meet deadlines and prioritize a diverse workload

Salary Range: NYLAG is a unionized workplace, and salaries are set pursuant to a collective bargaining agreement. The current salary range for this position is between $63,205 - $66,404 (as part of our CBA this range will rise to $64,785 - $68,064 on July 1, 2024).
